The Notary Journal

A notary journal is a permanent, chronological record of every notarization a notary performs. Many states require one by law, and it is best practice everywhere.

✓What to record in each entry:

  • Date and time
  • Type of notarial act
  • Signer's full name
  • Type of ID used
  • Signer's signature

✓Why it matters:

  • Helps prevent and detect fraud
  • Provides legal evidence if a notarization is questioned
  • Protects the notary in disputes or lawsuits

Record every notarization accurately and immediately — at the time of the act, not later from memory. The journal is your strongest protection if a notarization is ever challenged.
