Common Notarization Mistakes

Even experienced notaries can make mistakes that invalidate a notarization or create legal exposure. Most errors come from rushing, skipping steps, or trying to be "helpful" outside the boundaries of the role.

✓Frequent mistakes to avoid:

  • Failing to properly check the signer's identity
  • Notarizing without the signer physically present
  • Accepting an expired or mismatched ID
  • Leaving journal entries incomplete or filling them out later from memory
  • Choosing the wrong notarial act for the situation (e.g., an acknowledgment when a jurat was required)
  • Notarizing a document with blank spaces
  • Forgetting to apply the seal, or applying it before the act is complete

Even small procedural mistakes can invalidate a notarization. Treating every step as mandatory — not optional — is what separates a reliable notary from a risky one.
